Assistant HR Manager
-To coordinate all Human Resource issues of the Branch, provide support required for HR planning and compliance with Labor Laws.

-Responsible for all purchasing decisions for both business supplies and fixed assets for the branch.
-Responsible for branch security. disaster recovery plan and handling of test keys/ Swift.
-Responsible for managing secretarial functions.
-Position is also responsible for implementation of BSA requirements relating to handling of mail/pouches, employees  hiring, training records etc.

-Maintain and update database of organization structure and staff details, including staff files. Arrange background checks and OFAC checks on new hires in compliance with Bank Secrecy Act and place documentary evidence in personal files.
-Maintain training database and liaise with external agencies/training centers for attendance of training courses/seminars for branch staff.
-Ensure prompt resolution of HR related issues of branch, acting as liaison with staff on HR complaints and advising management on resolution.
-Monitor and advise on developments in legal/regulatory environment concerning employment issues, acting as information source on I IR practices and procedures and recommending changes as appropriate.
-Identify hiring condition by maintaining liaison with local employment agencies and conduct interviews with potential hires.
-Coordinate interviews with HR and other group/divisions at HO to meet all requirements from staffing needs/issues of branch personnel
-Facilitate implementation of performance management system for branch.
-Assist branch management on leave planning for all staff
-Disbursement of salaries and maintenance of all salary data
-Handle travel related matters (booking of air tickets, hotel, etc) for branch/visitors incoming and outgoing.
-Ensure timely renewal of Medical/Dental insurance as well as life insurance policies and timely payment of its premium. Handle staff inquiries relating to insurance issues.
-Administer 401k Savings plan and respond to staff inquiries
-Recommend branch staff loan after ensuring compliance to policy.
-Provide support to country manager in handling day to day affairs of subordinate staff.

-Ensure that all purchases are made as per the guidelines complying with OPM/SOP requirements.
-Ensure all maintenance contracts are regularly received and assets of the branch are fully insured.
-Ensure maintenance of lease agreements of premises and its timely renewal.
-Custodian of test keys and its maintenance.
-Responsible for all archival systems in the branch and all banks records are kept as per the retention schedule approved by local management.
-Ensure timely payments of all utility bills and establish close coordination with all concerned departments.
-Responsible for destruction or old records.
-Supervise Administrative assistant.
-Ensure that mail and courier packages are examined before being sent out/delivered to concerned dept. in compliance with Bank Secrecy Act.
-Ensure that Mail and Courier Packages (Outgoing & Incoming) are properly recorded and sent out/ delivered to concerned staff promptly.
-It is the responsibility of this position to make sure that the department staff is assigned jobs without sacrificing controls and proper segregation of duties.
-Ensure that work in Administration Department is handled properly in the absence of concerned staff.
-It is the responsibility of this position to ensure that the responsibilities of the Administrative Assistant/ Front Desk are properly handled in the absence of concerned staff.
-Ensure to keep stock of stationary & supplies for branch consumption.
-Ensure recording of Expense Checks and Security Cards.

Familiarity with Corporate HR policies and procedures, as well as local laws and regulations on employment issues.
Job holder needs to continuously interact with country Manager, Senior Managers, counterparts' in HR and the concerned in other Group Divisions in HO.
Strong interpersonal, communication and organizational skills required.
The incumbent should have a minimum of at least 5 plus years experience handling HR/ Administration related matters. Knowledge of local HR regulations is added value.
Should have thorough knowledge of worksheets and word processing. ADP software for payroll.

Incumbent operates in a very aggressive and demanding environment. Needs to build close rapport with all branch departments, agencies, relevant vendors & service providers
